Policies

Important Terms

  • Universal hotel check-in time is between 14:00 - 15:00 and check-out time is between 11:00 - 12:00 depending upon the property. Early check-in and late check-out is subject to availability of room, it depends on hotel. Early check-in and late check-out will be at additional cost and subject to availability and complete discretion of the hotel. Hotel may or may not provide early check-in or late check-out irrespective of availability. ElixirTrips Pvt. Ltd will not be responsible for any change in the policy of the hotel at any given time.
  • We can only facilitate the visa application for the travelling passengers. Granting of visa is solely at the discretion of Embassy. If visa is rejected or delayed by the Embassy for any reason then we are not liable to give any refund and respective cancellation policies will apply.
  • ElixirTrips reserves the right to modify the itinerary at any point, due to reasons including but not limited to: Force Majeure events, natural calamities, strikes, fairs, festivals, weather conditions, traffic problems, overbooking of hotels / flights, cancellation / re-routing of flights, closure of / entry restrictions at a place of visit, etc. While we will do our best to make suitable alternate arrangements, we would not be held liable for any refunds/compensation claims arising out of this.
  • In the event that a trip is canceled/rescheduled due to Covid or any other incident, standard cancellation/rescheduling charges will apply. We are not responsible for cancellations caused by Covid or any related issues. If there is a lockdown in either the departing or arriving city, the decision regarding refunds or rescheduling will be determined by the supplier.
  • Any flight cancellation/rescheduling/departure delay or any changes in flights is purely subject to airlines management discussion. Any charges in airfare increase/decrease/rescheduling is to be borne by the client as ElixirTrips do not hold any guarantee on same.
  • In case a flight gets cancelled, ElixirTrips will not be liable to provide any alternate flights within the same cost, any additional cost incurred for the same shall be borne by the traveler.
  • Grant of On Arrival Visa depends on sole discretion of Immigration Authority and ElixirTrips is not responsible for any non-grant of Visa to traveler. In case the immigration does not provide Visa On Arrival for any reason, the Cancellation policy of ElixirTrips Pvt. Ltd. will stand as it is.
  • We are holiday organizers only. We inspect and select the services to be provided to you. However, we do not own, operate or control any airline, shipping company, coach or coach company, hotel, transport, restaurant, kitchen caravan or any other facility or provider etc. that is engaged to provide you services during the course of your tour.
  • You will need to adhere to the conditions, rules and regulations of each service provider. For instance, you will need to check the baggage rules of the airline, you will need to check the hotel rules to check what the mealtimes are, at which you should make yourself available. The company is not responsible/liable for the consequences if you breach such rules and regulations.
  • We will strongly recommend all the passengers to check the flight schedule prior to the departure of flight, even if the tickets are issued by ElixirTrips. Customer must call airline directly a day before and on the day of departure and cross check all timings. ElixirTrips will not be responsible in case if customer misses his flight due to change of time. In such cases, customer will bear complete loss of flight and package.
  • It is important to note that lead passenger in the name of the booking has to be present at the hotel while checking in. In case the lead passenger is not able to travel, he must give signed the Authority letter along with a copy of his passport for the hotel to provide check in to rest of the family members.
  • After confirmation of services, if any one wishes to change your travel arrangements in any way, for example your chosen departure date or accommodation, we will do our utmost to make these changes but it may not always be possible. Any request for changes to be made must be in writing from the person who made the booking. The cost incurred due to amendment will be borne by yourself.
  • We strongly recommend customers purchase travel insurance that covers the risks associated with travelling to a foreign country such as emergency medical assistance and hospitalization as well as cancellations coverage and lost baggage. Consult your travel expert for a plan best suited to your needs.
  • During the period of travelling, any loss or damage to the customer, shall be the sole responsibility of the customer himself in case the insurance is not done. If the insurance is done, then, the insurance company is solely responsible for any such loss. ElixirTrips Pvt Ltd shall not be responsible for any loss or damage caused to the customer while travelling even if ElixirTrips has been instrumental in providing insurance to the customer through the insurance company.
  • All tour packages are subject to various charges, such as destination hotel taxes and service charges, port taxes on cruises, local government taxes, handling charges as well as on packages inclusive of an airfare, airport taxes, security fees and departure tax. All such charges, as known at the time of booking, are not included in the package price. Such charges are subject to change without any prior notice. However, the charges, if any, as of the time of booking will be informed to the customer.

Payment Policy

  • Reservation amount has to be paid upfront for us to start confirming your package.
  • Full flight amount, if flights included, and any non-refundable hotel amount has to be paid upfront for reservation.
  • Balance payment, if any, needs to be completed 21 days prior to travel.
  • For travel in less than 21 days from booking, complete payment must be received within 24 hours of booking.
  • You can pay using credit cards, debit cards, net banking, PayPal, NEFT, IMPS, RTGS, SWIFT or deposit cash Rs 1,99,000/- in adherence to Income Tax ACT.
  • We charge non-refundable financing fees for overdue amounts.
  • Financing charges: 1% per day of pending amount, compounding per day.
  • Processing charges for financing: 5% per week of pending amount or INR 10,000 per week, whichever is lower from 2nd week.
  • We reserve the right to cancel your trip without any prior notice after due date. Any cancellation costs will be borne by you.
  • If the above-mentioned payment terms are not followed, we will not be held responsible for any change made in the package itinerary due to non-availability of flights, hotels, ferries, etc.
  • There might be an increase in total package cost offered at the time of booking in case the payments are not received by us as per the terms mentioned and the extra cost needs to be borne by the guest.

Airline Cancellation Policy

  • If flights are non-refundable, in the event of cancellation, you will not get any refund for flights.
  • If the airline offers rescheduling, rescheduling charges, if any, to be borne by customer.

Hotel Cancellation Policy

  • Date of booking to 31 days before travel - cancellation charges will be 50% of the tour cost.
  • 30 to 16 days before travel - cancellation charges will be 75% of the tour cost.
  • 15 to 0 days before travel - cancellation charges will be 100% of the tour cost. No refund shall be given.
  • Please Note: Cancellation policy is subject to change. It depends on the hotel policy.
  • In peak season, for example long weekends, festival season, summer vacation etc., most of the hotels charge 100% cancellation.

Land Services Cancellation Policy

  • Date of booking to 31 days before travel the cancellation charges will be 50% of the tour cost.
  • 30 to 16 days before travel - cancellation charges will be 75% of the tour cost.
  • 15 to 0 days before travel - cancellation charges will be 100% of the tour cost. No refund shall be given.

General Terms & Conditions

  • Private Transfers does not imply that the Vehicle is on Disposal. The vehicle will only pick you and drop you at the attraction at specified timings.
  • Seat in coach transfers implies that transfers will be in a shared bus which will have other co-passengers. There may also be waiting involved during pickups and drops as the bus goes around picking other passengers.
  • If your flights involve a combination of different airlines, you may have to collect your luggage on arrival at the connecting hub and register it again while checking in for the return journey to your origin.
  • For queries regarding cancellations and refunds, please refer to our Cancellation Policy.
  • Disputes, if any, shall be subject to the exclusive jurisdiction of the courts in Bangalore.
  • We reserve the right to issue a full refund in case we believe that we are unable to fulfil the services for any technical reasons.
  • Airline seats and hotel rooms are subject to availability at the time of confirmation.
  • In case of unavailability in the listed hotels, arrangement for an alternate accommodation will be made in a hotel of similar standard.
  • Package price does not include Gala dinner charges applicable on New Year's Eve and Christmas in hotels.
  • There will be no refund for unused nights or early check-out. In case of medical condition it completely depends on hotel policy.
  • Check-in and check-out times at hotels would be as per hotel policies. Early check-in or late check-out is subject to availability and may be chargeable by the hotel.
  • The price does not include expenses of personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees etc.
  • If you cause any injury or damage affecting the service provider, then you may be liable to the service provider and if the service provider recovers any monies from us for such injury or damages, we shall separately charge you for the same.
  • We cannot be held responsible/liable for any delay, deficiency, injury, death, loss or damage etc. occasioned due to act or default of such service providers, their employees or agents.
  • Reservation amount has to be paid upfront for us to start confirming your package. Package is confirmed only once the initial amount is credited to our bank, it takes 4 hours to make the reservation once the amount is credited.
  • Company will not be responsible for any change in fares or services as flights, hotel and land services are dynamic and subject to availability.
  • Full flight amount, if flights included, and any non-refundable hotel amount has to be paid upfront for confirming the package.
  • If the above-mentioned payment terms are not followed, we will not be held responsible for any change made in the package itinerary due to non-availability of flights, hotels, ferry etc.
  • There might be an increase in total package cost offered at the time of bookings in case the payments are not received by us as per the terms mentioned and the extra cost need to be borne by the guest.
  • The STAR (*) rating of mentioned hotel is based on reputed site TripAdvisor or hotel website itself for any deviation on expectations upon check-in, ElixirTrips will not be responsible. We will request all guest to check TripAdvisor link or hotel website before confirming of the package.
  • The rates are valid for Indian nationals residing in India only.
  • The penalty for name change and date change will incur as per the airline and the destination. If there is any additional airport / Airline taxes charged by any airport / Airline at any destination, the customer shall bear the same. ElixirTrips shall not be liable for the same.
  • ElixirTrips reserves the right, in its sole discretion, to terminate the access to any or all ElixirTrips websites or its other sales channels and the related services or any portion thereof at any time, without notice, for general maintenance or any reason what so ever.
  • ElixirTrips advise the appropriate time to apply the visa as per the embassy norms, visa will be sent for application after receiving the visa documents. Shall there be any delay in receiving the documents/inappropriate documents or in granting the visa from the embassy ElixirTrips will not be liable for the same.
  • Any fluctuation or change in rate of exchange for the foreign exchange component will be borne by client and rate of exchange calculated at 1 USD = INR 80.00. Total package cost will be recalculated on final day of payment at final payment day's rate of exchange. xe.com website currency conversion rate plus INR 1.00 is taken into consideration for rate of exchange calculation.
  • The rates are subject to availability of airfare, accommodation, class of booking on the airline and sightseeing tours at the time of booking. Any price increment in the mentioned things will be borne by the customer.
  • In case if passenger is No Show/offloaded by the Airline for any reasons, the booking shall be considered as no show and no refund shall be made against any of the services booked through ElixirTrips.
  • If due to delay or cancelation of flight, if the sightseeing(s)/services are missed, the same service will be considered as unutilized service and no refund shall be made for the same.
  • If due to delay or cancelation of flight, you do not appear in the hotel/transfers at the specified time, ElixirTrips will not be responsible for the same. The same shall be treated as no show.
  • We strongly suggest our customer to carry hard copy of complete vouchers provided by ElixirTrips to present the hotel and avail the through the booking reference number. In case you do not present the vouchers at the hotel while checking in, Hotel can deny your booking and may not allow you to check in the hotel. In such situations ElixirTrips will not be responsible for the same.
  • All the sightseeing tours and excursions are organized by local companies of various destinations. The timings and days of operation are subject to alteration. Changes, if any, will be informed accordingly.
  • ElixirTrips Pvt Ltd. reserve the right to use an alternate accommodation or airfare of an equal or higher standard. The same shall be determined basis the reviews and ratings of the hotel placed on the internet.
  • Hotel star category is as per internet standardization and ElixirTrips is not liable for same.
  • Seat-in-coach transfers are on fixed timings. Please report at the meeting point min 15 mins prior to the pick up time. ElixirTrips Pvt. Ltd will not be responsible for any delay from the customers end.
  • No refunds either in part or in full will be made for any unutilized service.
  • Prices are subject to change without prior notice as per the Airline / hotel.
  • Final handover of Hotel vouchers / Air tickets / Visa etc. will be done before three days of your trip and subject to full payment.
  • ElixirTrips Pvt. Ltd does not guarantee quality of service of the hotel and star rating of the hotel. We only recommend hotels basis their reviews and ratings placed on internet by the customers and our previous customer experience. Once a hotel is booked, the booking can be changed basis the cancelation policy of the hotel as well as ElixirTrips. We strongly recommend our customers to go through reviews and photographs of the hotels before making a booking.
  • In case of any payment made on the online link through the Net Banking, credit or debit cards there will be a transaction charge of 3% of the total booking amount. In case of American Express Card the charges will be 6%. This amount is completely non-refundable in case of any/all cancellations, refunds etc. at any given point of time. This payment gateway charges will be deducted from the refund amount unless there is a waiver commitment from ElixirTrips in writing. We strongly recommend all our customers to take all the details in writing through our official id.
  • The airfares and taxes are calculated as on a mentioned date and time and any increase in the taxes or airfares will be borne by the client.
  • Kindly avoid being over drunk by intake of hard drinks during the flights to avoid any inconvenience during Visa on Arrival, Immigration and Custom Process.
  • Passport copies are mandatory to send at the time of confirming the booking and passport should be valid for minimum 6 months from the date of departure from destination.
  • You, or any member of your party, may cancel their travel arrangements at any time. Written notification or an e-mail to that effect from the person who made the booking must be received at our offices. The applicable cancellation charges should be borne by passenger.
  • Please note that in most of the hotels worldwide compulsory Gala Dinner Surcharge is applicable on 25th December, Christmas Day, /31st December, New Year's Eve, which is directly payable by client to hotel.
  • In some of the international destinations, sightseeing tours may not be operational on 25th December, Christmas Day, /31st December, New Year's Eve, due to heavy congestion on roads.
  • Regarding the visa processing, every country's High Commission/Consulate in India has specific number of working days required for visa approval, if you are confirming your booking on last minute and we have net or do not have sufficient number of working days in hand to get the visa approval before travel date then ElixirTrips will not responsible in that case and all expenses / cancelation for flight and land package booking will be borne by client.
  • Payment & Pricing: The price of your holiday has been quoted in both USD and INR. Since these prices are subject to currency fluctuations, the higher of the two will be charged at the time of completion payment for your booking.
  • We urge our esteemed customers to make the complete payment at the time of booking to avoid any charges arising out of fluctuations.
  • In case of part payments, reserves all rights to charge the higher value applicable as per the quote, till the time final payment does comes in.
  • We reserve the right to cancel your booking in case full and final payment is not made at the time of booking and later USD rate fluctuates. To avoid such situations, please make full and final payment at the time of booking.
  • Payment by Credit Cards: Your verbal authorization, given to your Travel Agent, for the use of your credit card indicates your compliance with our booking conditions and confirm your reservation whether or not you have actually signed the appropriate authorization form. In the case where the traveler pays with a third person credit card, a written proof of consent must be provided. Once a credit card has been forwarded to ElixirTrips to guarantee a reservation, the travel agent becomes responsible for payment and must keep a signed copy of the customer's authorization on file. In the event that a cardholder refuses to honor a charge due to the absence of signature, the Travel Agent will be held responsible for full payment of the services.
  • As per RBI Guidelines, for any international booking being made, will need a copy of passport of all the passengers travelling to the destination.
  • Travel Insurance: In the event of any dispute, the dispute shall be referred to the sole arbitrator to be appointed by ElixirTrips Pvt Ltd in Delhi and the matter shall be subjected to the jurisdiction of Delhi Courts only.
  • All our packages are based on Night basis and the last day is for check out which will be as per the hotel policy. ElixirTrips will not be responsible for any extension of stay in the hotel unless explicitly approved in writing by ElixirTrips.
  • Please also note that the terms and conditions stated in this e-mail, are final and binding. This e-mail surpasses any discussion/assurance that may have been given by our representative in any of the previous communications via phone or another e-mail. In case of any details or clarity, please feel free to get in touch with the undersigned or reply back on this email. Please send us go ahead in reply to this mail for us to process your booking within 24 hours. In case we do not receive any reply to this mail, it will be treated as implied consent.
  • Please note that we are not holding any reservation, rates are subject to availability at the time of booking and may change any moment without prior notice.

Destination Charges

  • Dubai: Dubai Tourism Dirham fees to be paid directly to the hotel, subject to change on basis of local regulations.
  • Thailand: National Park fees to be paid for entrance in during any island visit, 400 THB.
  • Malaysia: Tourism Tax of 10 RM per room per night to be paid at hotel.
